Grants Administrator

The Maine Community Foundation seeks a full-time Grants Administrator in its Ellsworth office. The Grants Administrator manages agency and designated fund grants and assists the Grant Manager with the administration of competitive and donor-advised grants. The ideal candidate has a strong commitment to service to donors, nonprofit organizations, and volunteers. The candidate must have excellent data processing skills, attention to detail and ability to use web-based applications, spreadsheets, and other data management software programs. This position works in close collaboration with finance department personnel on issues related to agency and designated grant programs.

Responsibilities

Process grants to agency and designated funds
  • Perform due diligence
  • Respond to hard copy and online grant recommendations and inquiries from fund contacts, including the critical responsibility of telephone and written communication with staff key contacts and fund contacts
  • Schedule and process grants
  • Create and issue grant award letters
  • Reporting
Primary contact person for designated funds
  • Compose and distribute handbooks
  • Collect and monitor reporting requirements on designated  funds
Assist the Director, Agency Nonprofit Funds with fund proposals
  • Respond to agency information requests
  • Prepare agency fund proposals
Assist the Scholarship Manager
  • Receive, acknowledge and organize 1,000+ scholarship applications from submission to award letters
  • Maintain scholarship database and hard files
  • Enter scholarship committee information in Raiser’s Edge database and scholarship database as necessary
Backup support for other activity on grant processing team
  • Donor-advised fund grant processing
  • Online application platform inquiries
  • Competitive program tasks during deadlines
  • Monthly database reconciliation (GrantsEdge to Financial Edge)
  • Outstanding check resolution
  • Participation in the phone tree

Qualifications

  • Comfortable with web-based applications
  • Knowledge of spreadsheet and other data management software programs
  • Excellent data processing skills
  • Attention to detail
  • Ability to prioritize, organize, and manage multiple tasks on firm deadlines
  • Skills in problem solving; ability to work independently
  • Demonstrated commitment to team
  • Excellent written and oral communications skills
  • Undergraduate degree or equivalent experience
